Email template

Configure the master settings that every email in a campaign inherits — reply-to address, logo, header photo, button color, and footer.

The Email Template controls the shared visual style and brand identity for every email in a campaign — the logo, default header photo, call-to-action button color, footer with your organization's contact information, and the reply-to address donors see. Set this up at the start of a campaign and every email inherits these settings. For context on how the template relates to individual emails, see How emails and receipts work.

Opening the Email Template

  1. From the Campaigns list, open the campaign you want to customize.
  2. In the campaign editor's navigation, click Emails & Receipts.
  3. The Emails & Receipts editor opens with Email Template selected by default in its left sidebar. The settings panel is on the right side of the canvas.

The settings are organized into four areas: reply-to address, brand assets (logo and header photo), button color, and the email footer.

Reply-to email address

The reply-to address is the email address donors will reach if they reply to any email sent by this campaign. Set this to the inbox you actively monitor for donor questions — typically an info@, donations@, or support@ address. Avoid using a personal email or a shared mailbox no one checks.

This matters for donor experience. If a donor replies to a receipt with a question about their gift and the reply goes unread, you lose the chance to help them and risk eroding their confidence in your organization.

Email logo

The logo appears at the top of every email sent for this campaign. Upload a PNG, JPG, or GIF at the recommended size of 160px x 160px.

Use a transparent PNG so the logo sits cleanly on the email background. Keep the file size small while staying legible — oversize images slow inbox loading and increase the chance Gmail will clip the email.

Click Upload to set or replace the logo. The X next to the thumbnail removes it.

Header photo

The header photo is a hero image that appears below the headline in emails that have a header photo enabled. Upload a PNG, JPG, or GIF at the recommended size of 1200px x 500px (landscape).

The header photo set here is a default, not a requirement. Individual email types (Thank You, ACH, Refund, and so on) can toggle their header photo on or off, and can override the default with a different image for that specific email. Set the default to the image most representative of the campaign as a whole — individual emails will override it when they need something different.

Button color

The button color sets the fill color for every call-to-action button across all emails in the campaign — Give Now in thank-you emails, Donate Again in ACH processed and refund follow-ups, and so on.

Click the color swatch or enter a hex value directly (for example, #0365E9). For accessibility, choose a color with strong contrast against white. Button labels are rendered in white, so the background needs to be dark enough that the text reads clearly. Brand primaries usually work; very light colors like yellow or pale blue typically don't.

Email footer

The footer appears at the bottom of every email and includes your organization's contact information. Anti-spam regulations in many countries require a physical mailing address in commercial emails, so fill these fields in carefully.

  • Organization Name — the legal name of your organization.
  • Organization Address 1 — your physical mailing address. Required.
  • Organization Address 2 — optional second address line, such as a suite or unit number.
  • City, State, ZIP — completes the postal address.
  • Phone — the number donors can call with questions.
  • Email — the public-facing email address for the organization. Often the same as the reply-to address, but it can differ if you want donors to email a different inbox proactively.

Saving and publishing

Changes to the Email Template are kept as drafts until you publish. The editor gives you three signals about unpublished work:

  • An EDITED badge appears near the page header at the top of the editor when any section in the campaign has unsaved changes.
  • A You have N unpublished emails message appears next to the publish controls in the top-right when there are unsaved changes anywhere in the campaign.
  • A small dot indicator appears next to a section in the left sidebar (Email Template, Thank You Emails, and so on) when that specific section has unpublished changes — a useful at-a-glance way to see which sections need attention.

Click Publish in the top-right to choose either Publish this Email (just the Email Template) or Publish All Emails (everything edited in the campaign). See How emails and receipts work for the full publish flow.
